Office Manager with dedicated financial support

Job description


As our Office Manager, you’ll ensure the smooth running of our day-to-day office life. You make sure that everyday things run smoothly and peacefully at our office and are the right hand of our finance manager by providing dedicated financial administration support. You are the smiling face bursting with energy at our office that everyone enjoys working with. You manage office budgets, supplies, correspondence and constantly liaise with our colleagues, clients, and suppliers.

Besides this, you enjoy working on some bookkeeping tasks and supporting our sales department.

We’re looking for a hands-on and enthusiastic colleague to support NICO.LAB in our current growth journey. You enjoy doing a variety of tasks and supporting teams and individuals to help them perform at their best. The person we’re looking for has some experience with setting up basics, processes and protocols for office management and financial administration -Accounts Payable and Receivable- (AP and AR).


  1. Managing the office: ordering office supplies, processing physical incoming mail, being the pivot for various departments for practical things but also providing support with retrieving certain information needed, for example for the onboarding of our new employees.

  2. Supporting with writing/drafting various processes: such as setting up processes to improve our office life and way of working.

  3. Managing the AP and AR: booking bank statements, invoicing, booking cost invoices, preparing payments, sending out reminders, customer- and suppliers contact and more

  4. Supporting our sales back office with a variety of tasks.

Job requirements


You’re an energetic, strong communicator with relationship-building skills. Some experience with setting up processes and protocols for our office management and financial administration.

Pro-active is your middle name, you are independent and always on the lookout for improvements, such as automating various tasks and processes. You simply rock at providing support and light up the room with your presence.

  • At least 1-2 years of experience with office and financial support related activities

  • Experience with bookkeeping or ERP software, such as ExactOnline (our software right now)

  • Experience with the basic office programs: Excel, Word, Outlook

  • MBO+, preferably PDB/MBA

  • Dutch native speaker and good fluency in English

  • Someone who wants to work 32 hours a week
